This privacy statement explains our use of your personal data. In collecting and processing your personal data, Without Wings, IOM registered charity no. 1213, will follow the 6 principles of:

• Integrity and confidentiality

Information we collect

We may collect and process the personal information you provide to us:

• On completion of a membership application form.
• On completion of a volunteers’ application form.
• To assist with fundraising events.
• To assist clients with the services we provide.

For the following purposes

• Compliance records to fulfil our duties under IOM Charities Legislation.
• To protect vulnerable people whom we assist.
• To enable us to provide ongoing assistance to clients.
• If you’re applying for a grant we will ask for your GP’s contact details – this is to ensure Manx residency only and not used for GP communication purposes.

We may collect and hold the following

• Your name and contact details including telephone number, address and email address.
• Your contact preferences.
• Any additional information required in order to carry out our charitable purpose.

Personal data is any information relating to an identified or identifiable living person. We recognise that certain types of information are more sensitive than others. Personal data may include sensitive personal data consisting of information as to racial or ethnic origin, political opinions, religious beliefs, trade union membership, physical or mental health or conditions, sexual life, criminal record or alleged criminal activity. To fulfil our charitable duties we may collect information relating to your physical and mental health but only should you provide express permission. Such information is kept secure and will be destroyed as soon as the purpose for which we hold it has ended or you request such information to be destroyed.

Use of data

We may use the personal information provided by you for the following purpose:

• To communicate with members, volunteers, those attending events and clients via the means identified and agreed to.
• Meeting our obligations under Isle of Man legislation.
• To arrange and hold members’ meetings.
• To provide relevant training to volunteers.
• To recommend and arrange services for clients.

We cannot guarantee the security of your data when sent to us. Any transmission is at your risk. Once received we use security and procedures to prevent unauthorised access.

We only retain personal information for as long as it is required. Where information is no longer required it will be disposed of, insofar as it is possible to do so.

How we communicate with general enquiries

If we receive a preliminary contact with regards to any of our services that isn’t on an official form, either via email, phone call or other means, Without Wings has a policy of holding onto your contact details for a follow-up check in for up to 6 months. After this time, if we have received no further correspondence from you, your information will be deleted. Each 6 month period begins from our last contact with yourself. Keeping your information in this way is for compassionate purposes only, so we can check in with you to ensure that you have had your query responded to in full.

Events’ communication

From time to time, Without Wings may advertise a special event to the general public. Without Wings might require names and contact details in order to manage that event so the provision of the data is a contractual requirement necessary for taking part in the event. Your details will be held until the event has been completed and deleted within 12 days of the event’s completion.

The data controller is Without Wings. Without Wings’ Trustees will manage your personal data for the purposes set out above.

Your Rights

You have the right to access information we hold on you and to have any inaccurate information corrected. You may ask us to delete your information under certain circumstances.

You have the right to tell us not to process your personal data for marketing purposes. We will always inform you if we intend to use your data for such purposes.

We will not share your information with third parties for the purposes set out above.

Changes to our Privacy Statement

We reserve the right to amend this Privacy Statement at any time. Any changes will be made available to you on our website or by contacting you direct.
